TERMS AND CONDITIONS FOR PARTICIPATION IN MAY QUEEN BALL 2025

By registering for the May Queen Ball 2025, you (the “Participant”) agree to comply with and be legally bound by these Terms and Conditions. Participation in the event is strictly subject to compliance with these terms. Failure to adhere to any of the conditions outlined below may result in immediate disqualification.

1. ELIGIBILITY CRITERIA

  1. Age: Participants must be between 18 years and 28 years as of May 3, 2025.
  2. Height: The preferred height of participants is 5’3″ (160 cm) and above.
  3. Affiliation: Participants must be daughters or wards of officers from the Indian Defence Forces (serving or retired).
  4. Citizenship: Participants must be Indian passport holders.
  5. Marital Status: Participation is restricted to single (unmarried) women.
  6. Health & Fitness: Participants must be in good physical and mental health and must not have any condition that may pose a risk to themselves or others during the event.
  • Any misrepresentation, falsification of information, or failure to meet the above criteria shall result in immediate disqualification from the competition, with no recourse to appeal.

2. REGISTRATION, FEES & PAYMENT TERMS

2. 1 Registration Process & Fees

  • All applications must be submitted via the official event website – DSOIMayQueenBall.com.
  • Each participant must provide accurate personal details, a recent photograph (headshot and full-length), and any other supporting documents required in the registration form.
  • Registration Fees:
    • A non-refundable fee of ₹1,000 must be paid at the time of submission of the application.
    • Shortlisted candidates will be required to pay an additional ₹5,000 as a participation fee.

2.2 Payment Terms & Refund Policy

    • Payments must be made through the DSOI Bank Account via direct bank transfer (as per bank details mentioned below and on the registration page).
    • All fees paid are non-refundable, except in cases where an application is rejected before selection.
    • Failure to pay the required fees within the stipulated time frame will result in automatic disqualification.
    • The organizers reserve the right to update payment terms or refund policies at their discretion. Any changes will be communicated via the official website.

3. SELECTION & PARTICIPATION REQUIREMENTS

  • The selection process will be conducted by a designated Organizing Committee (the “Committee”).
  • In the Preliminary Round on April 12, 2025, contestants will be evaluated on overall presentation, runway walk, and confidence. Based on these assessments, 30 finalists will be selected.
  • Finalists are required to attend comprehensive training and rehearsals scheduled from April 28 to May 3, 2025. Failure to attend without valid justification may result in disqualification.
  • Contestants must adhere to the event schedule as well as the prescribed dress code and grooming guidelines provided by the organizers.
  • All participants are expected to conduct themselves with professionalism, dignity, and respect toward fellow contestants, judges, and the organizing team.
  • The Committee reserves the right to replace, disqualify, or refuse entry to any participant at any stage for reasons including, but not limited to, misconduct, rule violations, or failure to meet commitments.
  • The decision of the Committee regarding contestant selection and elimination is final, binding, and not subject to appeal.

4. JUDGING & DECISION-MAKING AUTHORITY

  • The May Queen Ball 2025 will be judged by a panel of esteemed personalities including celebrities, industry experts, and defense dignitaries.
  • Judging will be conducted independently and fairly based on pre-determined criteria such as poise, confidence, intelligence, elegance, and overall performance.
  • The decision of the judges is final and binding. No disputes, objections, or appeals regarding the judgment process shall be entertained.
  • The Organizing Committee reserves the right to modify the judging criteria and procedures at any time without prior notice.

5. MEDIA, PUBLICITY & INTELLECTUAL PROPERTY RIGHTS

5.1 Media & Publicity Rights

  • By participating in the May Queen Ball 2025, the Participant grants irrevocable, perpetual, royalty-free rights to the organizers (DSOI), its partners, and Virtual Studio (the official Live Media Production partner) to record, photograph, livestream, distribute, and publish any media (including photos, videos, interviews, and other promotional content) captured during the event.
  • These media materials may be used for promotion, publicity, advertising, archival, or commercial purposes across websites, social media, television, print, and digital platforms worldwide, without any further compensation to the Participant.

5.2 Commercial & Branding Rights

  • Virtual Studio retains the right to use event media for its own promotional activities, showreels, marketing collateral, and brand positioning, as part of its role as the Live Media Production partner of the event.
  • Sponsors and partners may also use event-related media for promotional campaigns, subject to approval by the Committee.
  • If a Participant withdraws from the competition, all rights granted under this clause shall remain in effect.

6. DISQUALIFICATION & CODE OF CONDUCT

  • The Committee reserves the right to disqualify any contestant for:
    1. Breach of any terms outlined herein.
    2. Use of abusive, defamatory, or inappropriate behavior towards organizers, fellow contestants, or the judging panel.
    3. Failure to meet participation commitments such as missing rehearsals or violating the dress code.
  • Once disqualified, a contestant shall not be eligible for any refunds or reconsideration.

7. SPONSORSHIP & FINANCIAL STRUCTURE

  • The event is operated on a sponsorship-based model.
  • Participants acknowledge that funding for the event comes from ticket sales, sponsorships, and partnerships, and that revenue distribution is managed by the Organizing Committee in conjunction with Virtual Studio.
  • Sponsors shall have branding rights as per their sponsorship tier and shall be provided visibility in event media, digital content, and on-site branding.

8. INDEMNITY & LIMITATION OF LIABILITY

  • The organizers, including DSOI, Virtual Studio, and associated partners, shall not be liable for any injury, loss, or damages suffered by Participants before, during, or after the event.
  • The Participant agrees to indemnify and hold harmless the organizers from any claims, liabilities, or legal proceedings arising from their participation.
  • In case of event cancellation due to unforeseen circumstances (force majeure, national security, or government directives), the Committee reserves the right to reschedule, modify, or cancel the event without liability to Participants.

9. GOVERNING LAW & DISPUTE RESOLUTION

  • These Terms and Conditions shall be governed by the laws of India.
  • Any disputes shall be resolved amicably through negotiation.
  • If unresolved, disputes shall be subject to exclusive jurisdiction of the courts in New Delhi, India.

10. ACCEPTANCE OF TERMS

By submitting your registration form and/or participating in the May Queen Ball 2025, you acknowledge that you have read, understood, and agreed to these Terms and Conditions in full.

  • Failure to comply with these terms may result in immediate disqualification from the event without refund or recourse.
